About Stocktaka

Stocktaka is a small piece of software for a business that holds stock it uses or sells and counts it by hand today. It has two halves. The sheets are free and do the arithmetic on the page: what you counted against what was expected, what the variance is worth at your own unit costs, and which lines have fallen under their reorder point. Stocktaka Pro is the record those counts live in afterwards: every location, every item with its cost and reorder point, every count against them with its variance and who took it, kept with dates and exportable at any time.

Why this site exists

This site exists because the count is nearly always the part that is done properly and then thrown away. Somebody walks the shelves with a clipboard, totals it in a spreadsheet, places an order, and by the next count the spreadsheet has been overwritten and nobody can say what last month found. The arithmetic is not hard; keeping it is. So the sheets here are free and work the figure on the page, and the paid half is only the part that is genuinely worth paying for, which is that the count is still there next month.

Who it is for

The owner, office manager or parts manager of a small US business whose stock sits in a handful of places: a parts room and two vans, a lot and a shelf, a walk-in and a dry store, a supply cupboard, a rack of laptops and spares

Not a warehouse running a WMS, not an enterprise buying an ERP by tender, not a marketplace seller, not a manufacturer planning production, and not somebody who needs an inventory valuation for a tax return; those are different problems with different software and an accountant

What it does not do

  • No vendor ranking, no best-of list and no affiliate link: we sell our own software and we are not going to pretend to referee the category we compete in
  • No accounting, tax or valuation advice: what your inventory is worth on a return is a question for your accountant, and no sheet here answers it
  • No estimated figures pushed into your count: every number on a sheet comes from what you entered, and any outside figure on this site names the document it came from
  • No enquiry sold or passed on: what you write to us reaches us and stops there

I run the company behind this site and I wrote the sheets on it. I have spent the last decade building records software for small businesses that hold stock they use rather than sell, and the thing that started this hub is how often the count itself is the weak part: a clipboard, a spreadsheet rebuilt from scratch every quarter, and a variance nobody prices. Everything here is arithmetic you can check against your own count, and I say where each figure comes from.
