Start from the list a security control would ask for

The two widely used control frameworks both open with the same demand: know what enterprise assets you have. That is a deliberately unglamorous first control, and it is first because every other control is unenforceable on a device nobody knew about. Build the list to answer that question and the compliance uses come free.

Record the person, not just the device

A laptop with no name against it is an asset you will discover is missing at the leaving interview you did not have. The field that saves money here is the holder, and the event that keeps it honest is somebody leaving: a hardware list reconciled at every departure loses far less than one reconciled annually.

Let discovery find it and let a human confirm it

Automatic discovery is genuinely good at finding what is on the network and genuinely bad at knowing what is in a drawer, on loan, or at a home office. Use the scan as the starting list and the walk as the truth, and record the disagreement rather than overwriting it: the disagreement is the interesting data.

Price the gap the way you would price stock

Stock counts: what people ask before the first one

Is hardware inventory the same as asset management? It is the first part of it. Hardware inventory says what exists and where; asset management adds what it cost, what it is worth now, when it is replaced and who signed for it. Almost every small business that tries to start with the second one gives up, because the second one is unanswerable until the first is done.

Do I need an agent on every machine? Not to start. An agent gives you continuous discovery and a support burden; a quarterly walk with a sheet gives you an accurate list and no support burden. Start with the walk, and add agents when the list is stable enough that the drift between walks is the thing you care about.

What about equipment nobody uses any more? Give it a status and a disposal date rather than deleting the line. A device that leaves the list silently is indistinguishable from a device that was stolen, and the whole value of the record is being able to tell those apart.

How does this relate to the software side? Software licensing is a different list with a different owner and a different renewal cycle, and joining them early is how these projects stall. Get the hardware list right, then decide whether the licence list belongs beside it.
