Start with the licence, converted to a year

Take the monthly figure, multiply by the seats or locations you will genuinely need, and multiply by twelve. Do it for three years, because switching costs mean you are rarely choosing for one. This is the only part of the total anyone advertises, and it is frequently the smallest line.

Add the setup, priced at your own hourly cost

Counting how long an item master takes is guesswork until you try it, so test it: enter fifty lines, time yourself, and multiply. A business with 600 lines that takes two minutes each is twenty hours, and at your own loaded cost that is a real number that belongs in the comparison.

Add the recurring count, which never goes away

The count sheet on this site gives you this directly: lines times minutes per line is the hours a cycle takes. Four hours a quarter is sixteen hours a year of somebody's time, every year, whatever software you buy. Any product that genuinely reduces that figure is worth more than its licence difference.

The common shapes are per user per month, per location, by volume tier, or flat, and the spread within each shape is wide enough that quoting a range would mislead you. Get two or three real quotes on your own numbers; that is the only figure that describes your business.

What free rarely gives you is history across counts and more than one person working from the same record, which is what most businesses discover they were actually buying.

What hidden cost catches people out? Getting data out. A product that makes export awkward converts a switching decision into a re-keying project, and that cost lands years later when you have least appetite for it. Ask for an export before you sign, not after.

How do I know if it paid for itself? Compare the shortfall your counts price before and after. If accuracy improved and the variance value fell by more than the annual cost, it paid. If neither moved, the tool was not the constraint and no more expensive tool will be either.
